The problem

Right now, your residents' complaints live in eight different inboxes.

By the time your board hears about the pool, six families have already called. By the time you call back, it's a Facebook thread. By the time the thread is a thread, somebody's filed a formal complaint.

How it works

One inbox. AI severity. Right person, right channel.

Three steps. Set it up in a Saturday morning. Hand it to next year's board without losing anything.

01 — LISTEN

Connect every channel residents already use.

Your portal, Facebook Group monitor, Facebook Page sync, SMS intake, email forwarding. Nobody has to change behavior — we meet complaints where they live.

5 channels in one inbox
02 — CLASSIFY

AI reads every complaint and tags severity in seconds.

Severity, category, location, repeat-issue detection. Trained on the way HOAs actually complain — "gate is doing the thing again" gets linked to last month's "gate failure" automatically.

4s avg classify time
03 — ALERT

Right person. Right channel. Right now.

Rules anyone can read. Quiet hours for non-critical alerts. Escalation if the first responder doesn't acknowledge. The President gets the gate alert. Maintenance gets the chlorine alert. The Secretary gets the weekly digest.

The AI Engine

Not a chatbot. A classification engine built for community complaints.

Not a generic chatbot. A model fine-tuned on real community-association traffic — the cryptic Facebook posts, the all-caps emails, the "AGAIN!!!" group chat messages.

01

Severity classification

Critical · High · Medium · Low. Tuned to be conservative — a child near the pool reads as "high" even if the post sounds casual. False positives are better than missed alerts.

02

Cross-phrase trend detection

"5th gate failure," "gate stuck again," "the gate is doing the thing" — all get clustered to the same issue. Your board sees patterns the inbox never did.

03

Suggested next actions

Not a chat. Specific actions: dispatch this vendor, send this notice, flag this for the next board meeting. You approve. You stay in control.

"

The model caught that the "loud noise at 2 AM" post and the "stuck gate beeping" SMS were the same incident — three minutes before our first board member would have noticed either of them.

— Margaret Chen, President · Cypress Ridge HOA
Who it's for

Made for everyone on the board — and the residents you serve.

For the President

Catch what your board's missing.

Get the SMS the moment something critical happens. See the digest each morning. Run board meetings off the reports tab instead of three group chats and a paper folder.

"I want to know the gate is broken before I drive into it."
For the Property Manager

One queue, not eight.

Stop refreshing the Facebook group. Stop asking the secretary to forward emails. Stop wondering if you missed something. Everything lands in one inbox, sorted by what matters.

"I want my Saturdays back. The gate vendor knows me by name."
For Residents

Submit once. Hear back.

A public portal that doesn't require an account. Authenticated residents see status updates in real time. The board can mass-text "we're aware, vendor is on the way" in one tap.

"I want to know somebody saw it. I don't need it fixed in five minutes."
Pricing

One price per HOA. No per-board-member fees.

All plans include unlimited board members, unlimited residents, AI severity classification, and a dedicated SMS number for your HOA.

FAQ

The questions every board asks first.

Is monitoring our private Facebook group allowed? +

Facebook Pages — yes, via the official API. Private Facebook Groups are a different story: Meta's terms restrict third-party scraping, and the Groups API is limited. Our Group monitor is therefore experimental and consent-based — the board member who owns the group authorizes it through their personal account, with full disclosure to group members. We do not scrape any group without that explicit owner authorization.

How accurate is the AI classification? +

On the Cypress Ridge pilot dataset, severity classification matched board-member judgment ~91% of the time, with a deliberate bias toward over-classifying (false high beats missed critical). Every AI tag shows its confidence score, and every classification can be corrected — the model learns your community's specific patterns over time.

Can residents submit issues without an account? +

Yes. The public portal at your-hoa.hoawatch.us/portal is open to anyone. Anonymous submissions are accepted; residents who want status updates can register, but registration is approved by your board (not us), so you control who's in your community.

What if the AI mis-classifies something? +

You override it — one click, no fuss. We track every override and feed it back into the model for your community. Within a few weeks of use, the model adapts to your HOA's specific patterns: what counts as "high" for your pool, your gate, your parking. You always stay in control of what's an alert and what isn't.

Can we export all our data if we leave? +

Always. One click, full CSV + JSON export of every issue, comment, alert, and board action — including AI summaries and source links. No lock-in. We'd rather earn your renewal each year than trap you. If you cancel, your data is yours to take and your account is purged within 30 days unless you ask us to keep it.

Your next critical alert is somewhere out there right now. Catch it.

14-day free pilot. No credit card. Set up in a single Saturday morning. Cancel any time, take your data with you.
